Human Appeal (HA) is a British humanitarian, non-governmental and non-profit organisation that works in 25 countries around the world since 1991. Human Appeal has been operating in Iraq since 2016.  Human Appeal Iraq’s country office is in Erbil with sub-offices in Mosul and Aana. Human Appeal is working in a number of thematic sectors: primarily in protection; shelter and non-food items; food security and livelihoods. Human Appeal’s main donors include UNHCR, UNOCHA, WFP and numerous other international institutional partners.

JOB PURPOSE

The HR Assistant will assist in Establishing and maintaining HR systems and processes that allow effective management of all correspondence, reporting requirements and documentation, including personal details of all new staff members and updating and accurately maintaining data of all existing employees.

DUTIES AND RESPONSIBILITIES:

1-Create and update employee files in hard and soft copy

2-Regular check on the personal files and make sure that the files are complete and arranged in systematic way.

3-Assist in time sheets collection when needed

4-Makes photocopies, scans, and performs other clerical functions, ensuring the confidentiality of sensitive employee information

5-When needed Post job opportunities to online job posting sites, social media and other resources.

6 -Support in contacting the selected candidates for interviews, written tests and schedule the appointments when needed

7-prepare the on boarding documents including preparing the forms and policies and send the welcome email for the new joiners

8-Request employee IDs and emails and make sure it’s ready by the joining date of the new joiners.

9 -Update the contact list and share will all staff on monthly basis.

10 -Support in update the staff list for access letters and submit the documents to security department

  Supervise the Interns when there is any.

11-Prepare and support in the preparation of needed documents for the social security.

12 -Any other duties assigned by the line manager

  • Indoors                : 90 %
  • Outdoors                             : 10 %
  • Working Days    : 5 Working Days
  • Days off                               : 2 Days Off
  • Working Hours  : 9:00 AM – 5:00 PM

Qualifications & Preferred Skills

PERSON SPECIFICATION (Education, Experience, Skills. Abilities)

Minimum Requirements:

1-Minimum university degree Graduate

2- 1 Year of experience working in HR department.

3-Computer literate and competent with Microsoft office and other data management systems, as required.

4-Excellent verbal & oral communication skills

5-Good verbal and written in English and Arabic or Kurdish

6-Flexibility and ability to work under pressure, manage time and prioritise work to deadlines.

7-Can work independently, i.e. with minimal supervision.

8-Punctuality and respect for rules and procedures.

9-Must be able to maintain highest level of confidentiality regarding work-related information and data.

10-Good Understanding of Humanitarian work and labor law

11-Strong attention to detail and organizational skills required
