Purpose: To support day-to-day operations of a growing non-profit organization in support of the Executive Director and members of the leadership team.
Position Overview
This is an entry-level administrative position that will require an individual skilled at prioritizing work and setting expectations so that they are able to focus on each project with clarity and a feeling of accomplishment. The candidate must exhibit clear communication skills, a strong inclination toward collaboration, and a desire to work within a team environment that focuses on intersectional equity in the context of entrepreneurship in Detroit, Hamtramck, and Highland Park. The individual will support day-to-day business operations in collaboration with the Executive Director and leadership team by acting as liaison with board members, team members, contractors, philanthropic partners, donors, and the general public.
Responsibilities
Administrative Support
Schedule appointments and maintain internal calendar and tracking systems for general inquiries, fund development, board relations, and calendar for the Executive Director;
Participate in team meetings, contribute to discussions, and keep detailed notes for organizational archives;
Maintain necessary office supplies and support team members with needs specific to their roles in the organization;
Maintain organizational files and documents as needed by organizational leadership;
Support the management of fund development notes and record keeping;
Support the coordination needs for office equipment, tools and technology for team members, and additional functions; and
Collaborate with team on logistical and administrative needs for specific projects.
Board Relations
Prepare for Board of Directors meetings by creating and distributing agendas under the direction of the Executive Director, recording and sharing meeting minutes, and other documents as needed; and
Maintain communications with board members at the direction of the Executive Director.
Financial Management Support
Develop and maintain processes for internal and external financial management in partnership with leadership and the Controller; and
Perform basic bookkeeping tasks in collaboration with the Controller, including making deposits, invoicing, facilitating financial report requests, assisting with internal needs for the annual audit, etc.
Events and Meetings
Provide logistical support for meetings and events, such as setting up conference space or virtual meeting software, ensuring connectivity for external partners, handling catering orders, and gathering supplies; and
Assist in organizing and implementing ProsperUs events including programming, outreach, and day-of coordination.
Communications
Support with internal communications for team members and contractors;
Assist with donor communications, including appeal, check-in, and thank you letters; and
Maintain organizational archives of content and collateral.
Knowledge, Skills, and Abilities
Demonstrates high energy and a passion for ProsperUs’ work, including its clients, partners, mission, and values.
Strong technical skills with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and Adobe Acrobat (or comparable tools). Must be interested in working with systems, with the ability to learn and use new software and tools as required. Experience with Salesforce preferred but not required. Training will be provided.
Demonstrates proactive, entrepreneurial approaches to problem-solving with strong decision-making capability.
Self-motivated and able to work independently, while also able to work with internal or external teams, either in-person or remotely.
Ability to describe personal and professional intersectional equity journeys related to undoing racism and dismantling anti-Blackness and other forms of oppression that exist in the communities ProsperUs serves, specifically Black, Latinx, Arab, immigrant, and low-to-moderate income communities. This includes a motivation to understand and dismantle the implications of oppression for other marginalized communities such as LGBTQ folks and people with varying abilities.
Must be able to manage ambiguity and tolerate risk.
Minimum Qualifications
2+ years of experience in office administration or program coordination in a business and/or non-profit organization; experience can be a mix of volunteerism, internships, post-secondary education, or job experience.
Strong written and verbal communication skills.
Experience, knowledge, and/or interest in entrepreneurship and economic development are preferred.
Ability to communicate in Spanish, Arabic, French, or Bangla is a plus.

Pay and Benefits
The salary range for this position is $35,000 – $40,000; in addition, we offer these supports to help you manage your mental, emotional, and physical health:
Holidays: the org offers paid holiday time for 11 nationally recognized holidays, one (1) floating holiday to be used at the team member’s discretion, and additional time off around the winter holidays
Paid time off (PTO): immediately upon hire, you have access to 15 days a year to utilize at your discretion (more time becomes available based on your length of employment)
Health insurance (with a majority covered by the org) and other wellness supports available from your first day of employment
Org-sponsored 401(k): directly following three months of employment, team members are eligible for elective contributions to a 401(k) plan with matching funds from the org (contribution to your account will equal 100% of your elective contributions which do not exceed 3% of your compensation for each payroll period, plus 50% of your 401(k) elective deferrals per pay period up to the next 2% of your eligible compensation for such pay period; Safe Harbor contribution is always 100% vested)
Parental leave: access to eight (8) weeks of parental leave for employees who have given birth; access to two (2) weeks of parental leave for employees who have adopted, have a child place for foster care, and/or are the spouse or committed partner of a person who has given birth to a child
