The Accounts Receivable Officer is responsible for managing the hotel’s financial transactions related to guest and company accounts. This role involves maintaining the accuracy and efficiency of accounts receivable operations, processing invoices, ensuring timely payments, and addressing billing inquiries. The AR Officer ensures that all payments are collected in a timely manner while upholding excellent guest relations and maintaining compliance with accounting standards.

What will I be doing?

1- Accounts Receivable Management:

·Process and verify all hotel billing transactions, including guest stays, banquet services, room rentals, and other revenue-generating activities.

·Issue accurate invoices to guests, companies, and third parties.

·Manage billing systems and ensure that all financial data is properly recorded in accounting software.

·Reconcile accounts receivable balances with general ledger accounts.

·Monitor overdue accounts, follow up on outstanding balances, and work with guests or companies to resolve payment issues.

2- Cash Flow and Payment Collection:

  • Ensure timely collection of receivables to maintain positive cash flow.
  • Record and process all payments, including cash, credit cards, checks, and bank transfers.
  • Deposit payments into the hotel’s bank account and update accounting records accordingly.

3- Credit Management:

  • Assess credit risks and establish payment terms for corporate clients, travel agencies, and other regular partners.
  • Perform credit checks on new clients to determine creditworthiness.
  • Manage and oversee any payment plans, ensuring adherence to agreed terms.

4- Reporting and Reconciliation:

  • Prepare and present monthly AR aging reports to the finance team and management.
  • Assist in end-of-month financial reporting, reconciling AR accounts with the general ledger.
  • Investigate and resolve any discrepancies in financial records, ensuring accuracy in reporting.

5- Customer Relations:

  • Address guest inquiries regarding billing and provide prompt, professional assistance to resolve any disputes or issues.
  • Collaborate with other departments (such as Front Office, Sales, and Banquet) to ensure proper communication and coordination regarding guest accounts.
  • Build and maintain strong relationships with corporate clients and travel agencies to ensure continued partnerships.

6- Compliance and Internal Controls:

  • Ensure compliance with the hotel’s accounting policies and relevant local financial regulations.
  • Maintain proper documentation of all financial transactions and billing records for auditing purposes.
  • Identify opportunities to improve internal control procedures related to AR functions.

7- Other Responsibilities:

  • Support the finance team in various tasks as needed, including assisting with audits and budget preparation.
  • Keep up to date with industry best practices and accounting standards to enhance AR functions.

  • Detail oriented and organized
  • Ability to develop presentations and effectively present to all levels of company, hotels & owners.
  • Strong communication and negotiation skills (all levels of management and external customers)
  • Proficient in MS Excel, Word and Outlook with the ability to quickly learn new programs when required

Additional Preferences:

  • University degree in Accounting or Finance
