This position works at the front desk, greeting patients, verifying demographics, checking patients in, answering phones and taking messages for clinical staff. This position will provide excellent customer service in a high volume, fast paced environment, where multitasking and use of several computer systems are essential to clinic operations. Services are provided in Arabic or Somali and English.
As the Office Assistant 2 your duties will include:
Be the first point of contact for clients. Greets clients and visitors at the front desk. Answers incoming calls and routes appropriately. Provides information regarding the clinic and other resources and refers to other information services.
Acts as a liaison with the treatment staff and providers relaying information about patients’ needs such as walking in, prescription pick-ups.
Proactively monitors client wait times and notifies staff if there are problems such as a patient being left in the waiting area too long.
Follows up on client concerns if any complaints are known and takes action or refers to appropriate sources.
Using correct appointment codes makes appointments in Epic, requesting interpreters as necessary, writing accurate and complete notes for reasons for patient appointments in the note field.
Takes accurate messages and relays to clinical staff either by phone or message in Epic.
Receives and reviews and distributes client documents such as medical records from other clinics, prescriptions, medical reports and requests for patient information.
Routes documents to medical staff for review and then when documents are returned prepares documents for scanning/indexing by client Medical Record Number. Assists medical staff with faxing as needed.
Troubleshoots equipment issues and reports necessary repairs as needed to the supervisor.
Follows downtime priority and project list following through on assigned tasks such as intake packet preparation or patient insurance calls.
Supports Building Better Case Meetings by setting up computers, preparing reports and participating on PDSAS.
Participate on various groups and committees as needed to support clinic operations.

Minimum Qualifications/Transferable Skills*:
Any combination of experience and training that would likely provide the knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be as noted below. All non-traditional education, training and experience will be evaluated.
Education/Training: Equivalent to the completion of the twelfth grade; and
Experience : Two (2) years of general office support or customer service experience dealing directly with the public.
Knowledge, Skills and Abilities (KSA): This role will deliver services in Arabic or Somali and English languages . (Language testing is required).
