Executive and Personal Assistant will be hired to work for Ankara Branch Office of an International Company. The working language is English.
JOB DESCRIPTION
- Take translator role from English to Turkish and vice versa when needed;
- Take the office administrator role when needed;
- Conduct minor office related procurements if required;
- Operate office equipment such as fax & copy machine, phone system, and use computer for spreadsheet, word processing, and other applications;
- Answer telephones and give information to callers, take messages or transfer calls to appropriate individuals.
- Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs;
- Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions;
- Compose, type and distribute meeting notes, routine correspondence and reports;
- Maintaining appropriate records, files and documentations;
- Handling all travel arrangements, including hotel & flight bookings, visas and airport transfers;
- Arranging and coordinating all meetings and logistics processes including dining and other events (both local and international);
- Proactively identify and resolve Manager’s needs.
QUALIFICATIONS
- Bachelor’s degree;
- More than 3 years of executive and personal assistance experience in a dynamic work environment;
- Excellent command of both spoken and written English;
- Spanish would be an asset;
- Strong multitask skills;
- Excellent time management, organizational, and communication skills;
- Excellent command of MS Office programs;
- Strong work ethic, highly responsive with a warm attitude;
- Stress tolerance, pro-active and self-motivated, willing to take responsibility;
- Excellent organizational skills and disciplined for follow-up;
- Self-starter, well-organized, extremely detail-oriented;
- Excellent time management and prioritization skills.
