Within the framework of its program in IRAQ, Nonviolent Peaceforce is inviting prospective companies offering vehicle rental services to submit bids under an INVITATION TO BID (ITB) process for the following vehicle rentals for a period of twelve (12) months:

All vehicles must be provided with the following services within the agreed price:
Provision of fully comprehensive insurance cover for all fifteen ( 25) vehicles covered under this tender, arranged with a reputable insurance company in agreement with NP
Delivery and recovery of all vehicles to/from the relevant field office location as stated in the contract at the start and end of the contracted period (currently Sinjar, Zummar, Baaj South Mosul, Kirkuk and Erbil)
Provision of same-day regular vehicle servicing at minimum 4,000km intervals at an agreed central location (to include but not limited to brake pads, tyre replacement and oil change)
Provision of emergency vehicle recovery, repair and return services in NP’s field locations as required, including provision of similar replacement vehicle(s) to the relevant field location for interruptions of more than 24hrs while repairs are completed
Companies should submit their bid by email in English Language, as scans of original signed and stamped hardcopy documents. Submissions must include the following components:
1. A copy of the company business registration document
2. A copy of the company profile or brochure
3. A capacity statement outlining experience in delivering said services, including references of a least one previous client
4. A technical bid, outlining the vehicle makes, models and production years that the bidder is offering to provide, plus details of the insurance company and coverage plan they intend to use to cover the vehicles
5. A financial bid quoted in USD (inclusive of the cost of insurance, servicing, etc. outlined above, and all associated tax and fees) that states clearly the monthly rental price for each type of vehicle being offered within this bid.
All documents must be signed and stamped by the relevant Company Representative. All bids must be valid for 30 calendar days from the closing date of the tender advertisement.

Successful bidders will be required to sign NP’s Ethical Procurement Policy and may be required to provide additional information for review prior to any contract offer. Dates and
location of deliveries and servicing arrangements will be agreed within the parameters of the above specifications prior to contract signature.
