Job Summary:
The Immigration Office Assistant will provide day-to-day administrative support to the AZ Legal Center in Phoenix, with limited remote support to the Tucson office. The Immigration Office Assistant will also be providing quality customer care to visitors and clients of the AZ Legal Center.
Major Responsibilities:
- Conduct legal screenings of asylum seekers, victims of trafficking, and other individuals seeking humanitarian forms of relief;
- Process outgoing mail and distribute incoming mail to legal staff;
- File documents in Immigration Court as needed;
- Print, scan, and copy legal documents;
- Open, close, and organize legal files;
- Phone communication with both clients and potential clients;
- Assist attorneys with scheduling client meetings;
- Assist legal staff with inputting data in legal case management system;
- Greet and welcome visitors at the AZ Legal Center;
- Translate legal documents;
- Follow all IRC policies, procedures and protocols including adherence to the IRC Way and Child Safeguarding;
- Other related duties as assigned.

Internal: IRC Staff, Volunteers, Interns, and AZ Legal Center’s Clients
External: Court Staff and Post Office Staff

Qualifications
At least 1 year of demonstrated relevant work experience in office administration; customer service or related field;
- Computer proficiency with an emphasis on Microsoft Office applications (Word, Excel, Teams, Outlook). Proven experience in web-based data entry systems, with both data extraction and design preferred;
- Highly organized self-starter with proven success prioritizing multiple tasks, making critical decisions, and delivering results in a fast-paced environment with tight deadlines;
- Strong attention to detail with the ability to prioritize and manage time effectively;
- Flexibility with demonstrated ability to maintain responsibility for multiple tasks in the context of a diverse, fast-paced work environment;
- Proven success working and communicating effectively across teams and in a multi-cultural environment;
- Proficiency in written and spoken English and Spanish, trilingual ability preferred in Swahili, Kinyarwanda, Arabic, French or other refugee/immigrant language used in Arizona. Cross-cultural understanding and strong communication skills, both written and verbal;
- Must have a valid driver’s license, active insurance policy, access to reliable transportation and the ability to travel regularly throughout the service delivery area;
- In accordance with Arizona State Law, must possess or be eligible to receive a fingerprint clearance card.
Working Environment:
- Current Remote Work – Standard office environment with the ability to safely lift 30 pounds.
