220 days. Hours: 9am-4:30pm

Purpose Statement

The job of senior clerk typist at Central Office was established for the purpose/s of greeting and directing visitors, responding to inquiries from staff, the public, parents, students, etc. by providing requested information and/or referral to other parties; and providing support for central administration staff.

Job Responsibilities

Essential Functions

Welcome visitors in a warm and friendly manner, and answer any questions visitors have in a calm, courteous and professional manner

Answers telephone system for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages in a friendly manner

Coordinates distribution of items within the site (e.g. special delivery and overnight mail/packages, messages, application packets, Home School applications, etc.) for the purpose of ensuring receipt to addressee and/or providing material/s.

Uses customer service skills for the purpose of responding to inquiries, and/or directing individuals to appropriate location in accordance with established building security procedures.

Maintains information for Central Office administrators to insure inquiries are given to the appropriate administrator. Maintains reception area materials (e.g. registration packets and materials, event calendars, etc.) for the purpose of providing resource information to visitors.

Performs general secretarial and clerical functions (e.g. scheduling, copying, faxing, scanning, data entry, filing, etc.) for the purpose of providing support for central administration staff.

Processes phone calls and makes appointments as needed. Conveys information regarding district information, policy and guidelines.

Processes student work permits.

Collect student and staff data; Support of administration with scheduling, coordinating meetings, and preparing reports; Ability to work with staff, students, parents and community members.

Be open and willing to be a part of team approach

Maintain reception area and all common areas

Keep detailed and accurate records of visitor requests and of calls received (time, date, subject, next steps, etc.)

Receive deliveries; sort and distribute incoming mail

Take inventory of supplies and restock as needed

Maintain the general office filing system

Complete additional assigned tasks as requested

Support the department director as needed

Qualifications

2-3 years of relevant experience in an office environment

Proficient in Microsoft Office and Google

Use of Aspen platform a plus

Able to type 35 wpm minimum

Strong verbal and written communication skills

Demonstrated ability to read, write, and speak English

Comfortable multitasking and prioritizing tasks without guidance

Excellent interpersonal skills

Punctual with strong attendance history

Multi lingual preferred (Spanish or Arabic a plus)

Organized and detail oriented

Ability to maintain confidentiality
