DRC has been operating in the Middle East and North Africa (MENA) region for over a decade, running a combination of emergency, livelihood, protection and advocacy programs through Country Offices (COs) in Algeria, Libya/Tunisia, Syria, Iraq, Jordan, Lebanon and Turkey with a Regional Office (RO) in Amman. DRC has 17 offices and approximately one thousand staff members across the MENA region. Following an internal HQ restructuring, from 1st January 2018 the region is focusing on the Middle East, hence Algeria, Tunisia and Libya will transition to a new region during the course of 2018, while Yemen will join the Middle East region.
 

The overall purpose of the role

The Administration Assistant is responsible for supporting the implementation of all administrative functions in Mosul office and supporting the Human Resources and Administration Officer, and Finance department to carry out their missions in Mosul through proper handling of administrative functions.

Responsibilities:

  • Support managing maintenance of DRC MOS premises (office, GH and centers) (power, water, telephone, AC, fire equipment etc.) and plan for the handyman, including the eventual procurement of materials and appliances as required. 
  • Manage cook and cleaners’ schedules or otherwise, the cleaning company schedules and ensure cleanliness in both the DRC guesthouses and Mosul Office.
  •  Act as a focal point for all incoming requests related to building infrastructure, maintenance improvements and supplies; responsible for the office kitchen supplies and supplies for Expats’ accommodation.
  • Managing & inventory supplies and consumables in the admin store weekly, provide cleaners with all needed supplies weekly. Also, support staff with all needed stationaries.
  • Collecting monthly Timesheets from staff.
  • Scanning and archiving all HR/ Finance documents on the OneDrive properly.
  • With the coordination of HR officer, collecting all requested documents from staff when needed.
  • Any other duties as may be assigned by the Line Manager.

  • Conduct duties in accordance with DRC Iraq program Standard Operating Procedures (SOPs);
  •  Conduct duties in accordance with DRC Code of Conduct.

Experience and technical competencies:

  • A minimum of one year of relevant experience in administration role.
  • Strong interpersonal and communications skills with a proven ability to work with a wide range of managers and staff members.
  • Good facilitation skills
  • Good attention to detail and ability to work under time pressure.
  • Strong analytical skills
  • Strong communication skills both writing and oral
  • Excellent interpersonal and teamwork skills
  • Experience with standard procurement procedures and documentation.

Education:

  • High School Diploma, Collage Degree advantage.

Languages:

  • Fluency in Arabic
  • English intermediate, able to communicate.
