Duties

  1. Maintains and implement Front Desk activities according established systems, policies and procedures for the best customer service and office support provision.
  2. Administers up-to-date client database and works on client conversion to customer and retention.
  3. Administers the registration database and correcting system-caused errors working with IT or other input-driven problems caused by registrant errors.
  4. Implements call center activities as well as centralized emails ensuring timely and accurate information provision and client conversion.
  5. Administers registration process from A to Z as well as classroom matching with courses and instructors. Overseas the setting up the whole system and runs it effectively.
  6. Keeps accurate database of student’s application forms, photos and sets up a tracking system for timely payments (during the registration period).
  7. Ensures that the rooms are ready for class: checking if projectors, smart boards and other equipment works, supplies are available (during the registration period).
  8. Assists the instructors in their daily tasks according to their needs (on daily basis).
  9. Maintains the registration book of signed-out materials.
  10. Informs the Security about the students’ lists.
  11. Maintains a filing system for documents and course materials.
  12. Receives orders of course materials, answer sheets, evaluation forms, flyers and others by the dean, coordinators and instructors (daily basis).
  13. Orders car, supply, purchasing requests and fixing and makes room/lab/equipment reservation in accordance to EP department’s needs.
  14. Performs other related duties as assigned by the immediate supervisor.

Skills, Knowledge, Abilities

Education needed:                  BA degree in a relevant field and one year experience

Training recommended:       Word processing, spreadsheets, database management, E-mail, English (level 5), Arabic (level 5), Kurdish
