Health Team Administrative Assistant (2021-2022)

OVERVIEW

The Health Team Administrative Assistant will serve scholars alongside our Health Team Coordinator, Nurses, and Operations Team at our three campuses (located across the parking lot from each other) and provide expertise and oversight of school health logistics and contact tracing.

This individual will be responsible for working with students, families, and staff who have been exposed to COVID-19 and providing health education and guidance to interrupt ongoing disease transmission. Dialogue with contacts will be guided by standard protocols to obtain any symptom history and other relevant health information, provide instructions for self-quarantine, and make appropriate referrals to testing, clinical services, and other essential support services.

This position will require prioritization, prompt action, and attention to detail in documentation and data management as multiple investigations will be conducted simultaneously In particular, we are hoping this individual will be able to work as a liaison between Valor and the Metro Nashville Public Health Department to facilitate contact tracing during the COVID-19 pandemic.

KEY RESPONSIBILITIES

Initiate prompt communication with people exposed to COVID-19 (contacts) through phone calls, email, and other communication platforms as necessary.

Collaborate and coordinate with the Operations team to efficiently complete contact notification and monitoring assignments, which includes gathering seating charts, determining close contacts, etc.

Employ dynamic communication and interpersonal skills, cultural competency/sensitivity, tactful language, and empathetic interviewing skills to build rapport and maintain trust with patients of varied backgrounds.

Verify the contact’s identity during initial communications and prior to disclosing confidential information.

Assure confidentiality and carry out efforts to locate and communicate with families or staff in a manner that preserves the confidentiality and privacy of all involved.

Notify the contact of their exposure to COVID-19, following a script or guidance to provide COVID-19 health education.

Provide approved information and guidance on quarantine procedures and what to do if symptoms develop.

Conduct daily check-ins to assess signs/symptoms via locally designated method.

Manage and create the necessary GoogleSheet trackers to ensure that all appropriate families receive the correct communication.

Other administrative duties needed by the nursing team, as needed

QUALIFICATIONS

Required: High school diploma or General Education Development (GED) equivalent with up to two years of applicable community experience.

Required: High proficiency with use of computers (desktop, laptop, tablet) and Google Suite

Preferred: Associate’s degree or higher from an accredited college or university

Preferred: Experience working in the healthcare or public health field

Preferred: Bilingual in Spanish and/or Arabic

ADDITIONAL SKILLS AND EXPERIENCES

Ability to use discretion, maintain confidentiality and ethical conduct

Ability to work effectively with all levels of staff, establishing and maintaining collaborative professional relationships

Strong time management skills (organization, prioritization, multitasking)

Ability to work independently and as part of a multidisciplinary team

Ability and willingness to learn and utilize technology especially as systems are upgraded

Ability to learn and upgrade job skills in order to meet changing demands of the position

Ability to react well under pressure, handle and balance multiple demands at one time, work with frequent interruptions, and perform duties and tasks at expected levels of professionalism

Ability to use independent judgment and demonstrates initiative to act without being asked

Maintain appropriate confidentiality and stay current with confidentiality requirements

HOURS AND COMPENSATION

This position is available immediately. Hours are tentatively set to be Monday-Friday 1:00 pm-5:00 pm with some weekend hours (in the event of an emergency).
