All INTERSOS employees are expected to perform their roles and responsibilities according to the INTERSOS charter of values, code of ethics, PSEA and Child Protection policies. The job description is mandatory for all positions within INTERSOS and shall be signed by the employee within the first week of employment.

Purpose/objective of the position:

Execute administrative tasks, according to HR Manager’s indications and INTERSOS procedures, to ensure legal compliance to local laws and to donor’s requirements.

Duties:

Recruitment

  • Assist the HR Manager in recruitment-related tasks (Calling, screening, arranging for tests, conducting reference checks, and archiving)

Contracts Management

  • Track and monitor the contract status for all the personnel in the mission, and communicate with the responsible HR all the needed tasks to be done (renewal, non-renewal, termination)
  • Prepare employment contracts in conformity with legal requirements including specific amendments, when necessary, in order to ensure local labour and fiscal law compliance.
  • Ensure that contracts are scanned and uploaded to IMP.

Attendance & Leaves Management

  • Ensure a proper tracking and archiving for the attendance/time sheets from the field (double checking that all needed signatures are there)

Employee Data Management

  • Execute administrative and legal related tasks, under supervision of the HR Manager, payroll calculations and update personal files in order to ensure accuracy, compliance and on-time payments
  • Enter data into the HR database and personal files and keep them up to date in order to facilitate HR processes management. Archive the personnel documentation and keep it in order and aligned with HR procedure.
  • Ensure that employee dossier is organized and labeled properly

Insurance

  • Ensure that the Insurance cards are issued on time and delivered to the staff.
  • Liaise with the insurance company to ensure matching staff lists and proper addition/deletion updates.
  • Conduct regular induction on the insurance package.

Others

  • Update Social security Tax office employee files in order to meet legal requirements and duties
  • Draw up monthly pay slips for all staffs, collect staff signatures, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staffs payroll
  • Draw up the final pay slip and employment certificate at the end of a contract in order to meet legal requirements while defending INTERSOS ’s interests
  • Follow up all expiring rental contract dates and inform the HR Manager in order to leave enough time to arrange a renewal or look for some other alternative
  • Make all administrative information available to the staffs (posting, meetings, etc.)
  • Support the HR Manager and HQ for the preparation of personnel documentation for audit purpose
  • Support the HR Manager in translating documents into local language. Assists the HR Manager in meetings upon request
  • University Degree in Business Administration
  • Minimum 1 year of relevant professional experience in Human Resources and experience with an INGO
  • Computer literacy (Word, Excel, PowerPoint)

  • Fluency in Arabic or Kurdish (written and spoken)
  • Fluency in English (written and spoken)
