Detailed Responsibilities
• Facilitating the recruitment procedures in line with MAG HR SOP.
• Ensuring archiving of documents for the HR Department (personal files, HR and Admin tracks…. etc.)
• Making regular audit in the HR files (contains all required documents according to checklist)
• Monitoring national staff performance probation of the sector and updating HR Co on the deadlines.
• Orienting newly recruited staff and making sure of implemented process in this regard.
• Ensure that pre-employment checks are completed and that all necessary paperwork is received from new staff.
• Organise induction programmes for all new staff in line with MAG policy.
• Maintain personnel records including absence and holidays and ensure that copies of relevant correspondence are kept on individual personnel files.
• This job description must remain flexible, to respond to additional tasks or changes as identified by the line manager.
• Ensuring that all paper and computerised HR files and records are maintained and up-to-date.
• Providing written and oral translation support when and if required.
• Assisting with following up and archiving MAG official letters to governmental departments.
• Administrating staff attendance sheets.
• Assisting MAG staff training courses documents.
• Preparing sector staff timesheets and monthly reports
• Calculating salary calculations before submitting to Finance.
• Maintaining sector staff leave balance and personal files updated.
• Provide administrative assistance to the Organization via preparing official letter to governmental sides.
• Facilitate staff movement permissions within MAG locations both in (KRI and Fed) areas.
• Provide translation/interpretation among (Kurdish, English and Arabic) whenever needed by the direct line manager

Qualifications & Preferred Skills
The post holder should be able to demonstrate the following attributes:
• An understanding of NGOs and a commitment to humanitarian work
• Relevant experience in Human Resources functions
• Very good level of using software such as Win, Microsoft…
• Relevant B.A degree (preferably in HR)
• Very good language skills in (Kurdish, English and Arabic)
