Job Summary

The primary role of the Fleet and Operations Assistant will be divided in to various responsibilities. The responsibilities may vary in this entry level position and are up to the discretion of the supervisor.

  • Approximately 50% of the time will be spent focusing on Procurement. The Procurement and Logistics Assistant will be responsible for field Procurement which includes direct procurement or getting quotations as needed. Buying the requested items, delivering items to the budget manager and maintaining good archive. Procurement paperwork including (RFQs, preparing procurement packages, preparing contracts, help in tenders (as needed).
  • Approximately 30% of the time will be spent in support of Erbil Base functions which include but are not limited to maintenance, payments, and warehousing. Checks and ensure all the houses have enough from cleaning supplies to food and water and everything between for the staff living.
  • Approximately 20% of the time will be spent in support of the Fleet team and in functions as seen necessary by the Logistics Manager. The Procurement and Logistics Assistant will work alongside the Fleet Coordinator to make sure vehicles are properly maintained and all paperwork is collected accurately and in a prompt fashion. In addition, conducting airport pick-up/drop-off (if needed) as well as transporting documents and staff to various locations in Kurdistan and Mosul. Destinations include but are not limited to Erbil, Hamdaniyah, Nimrud, Mosul, Sinjar, Sinuni, Duhok, Khanke, and SheikhanThese above percentages are approximate and will vary based on real time needs. Samaritan’s Purse and the supervisor reserve the right to amend, adjust, and alter the above at their discretion.

 

Job Duties:

  • The Procurement and Logistics Assistant will be responsible for field Procurement which includes direct procurement or getting quotations as needed. Buying the requested items, delivering items to the budget manager and maintaining good archive. Procurement paperwork including (RFQs, preparing procurement packages, preparing contracts, help in tenders (as needed).
  • Maintaining the procurement policy that is set by Samaritan’s Purse.
  • Assist the Base Coordinator and provide help when needed. This includes but is not limited to tasks related to house and office maintenance, overseeing the quality of maintenance work, payment functions, warehousing, and other day to day operational tasks. Ensure all visitors rooms are always ready and are stocked with necessary supplies. Paying all kind of bills related to the SP facilities (electricity/water/generator/internet).
  • The Procurement and Logistics Assistant will work alongside the Fleet Coordinator to make sure vehicles are properly maintained and all paperwork is collected accurately and in a prompt fashion. In addition, conducting airport pick-up/drop-off (if needed) as well as transporting documents and staff to various locations in Kurdistan and Mosul.   • Complete other activities as directed by the Line Manager and performing all other tasks and responsibilities assigned for the benefit of Samaritan’s Purse with a generous and serving spirit.

  13. Good oral communication skills in local languages, and preferably English.
  14. Willing to work long hours and weekends, and to travel away from the site.

 

Education / Experience Needed

Two years’ experience in Procurement/Fleet highly preferred and NGO experience serving as an advantage.

 

LANGUAGE

Fluency in English, Arabic, Kurdish are required
