Environmental Holdings Group (EHG)/Alloy, an environmental remediation and demolition company has an immediate need for an Office Manager. Our ideal candidate will possess a strong work ethic, be self-motivated, able to multi-task and be a problem-solver, show strong attention to detail and organization, and – most importantly – believe in a team- oriented approach. This position is based out of our Raleigh, NC office.
Office Manager
PRIMARY FUNCTION:
Provide administrative and accounting support for branch and core management personnel. Work closely with Branch manager, Operations, and project management to ensure efficiency, record keeping, compliance and financial objectives are met.
TYPICAL DUTIES:
Process monthly AIA billings
Secure and manage various permits for all projects
Supervising day-to-day operations of the administrative functions of branch location.
Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.
Working with branch manager and Operations Manager to develop, review, and improve administrative systems, policies, and procedures.
Maintain/set up filing systems, personnel files, bid files, project files,
Using various software, including word processing, spreadsheets, databases, and presentation software.
Answer phones. Screen/handle routine and or non-critical items, pass others on to supervisor(s).
Compile and prepare reports as requested by team members
Coordinate and process general administrative work (time sheets, vacation requests, office supplies).
SITE SPECIFIC DUTIES:
Process field new hires through BirdDog/Arcoro HR software
Upkeep documentation in Project Manager’s project folders through online share file system
AR
Work with PM’s to complete Billing submission to clients
Review aging reports and provide status updates
Work with PM’s to collect outstanding balances Reporting
Over see PM submission of contract adjustments and accruals
Oversight of PM submission of certified payrolls recycle report, manifests on as needed project specific basis.
Submission of requests and timely delivery of Bond request, Bond updates/ releases, COI’s, W9’s
Assist in PO issuance and maintenance of PO log
Work with PM’s to ensure Vendors are compliant with company/ project insurance requirements, lien waivers and required reporting documentation
Fieldflo responsibilities
Daily-
Cross Referencing Timesheets (sent in by the supervisors) with the daily timesheet in fieldflo.
Audit projects to ensure that all of the mandatory forms are open and being used correctly in each project
Job Books
Create a job book for each Job and include the proper paperwork specific to each one.
Include all required paperwork for project execution to include but limited to: e Asbestos Paperwork (Asbestos Certification, Asbestos License, Physical, and Fit Test.) Project forms, work and safety plans created by PM
Break down the books (once the job has completed) and upload all paperwork to Box in the specific job folder.
Assist and Prepare pre and post job submittals.
Permits
Primary Submittal of project permits
PM to provide required information for demolition and Asbestos permitting per project location
Trucking Logs
Input the information from the Truck drivers driving logs into the live tracking sheet.
Input the information from the Live trucking log into Revenue and Productions Tracking on box.
Scan in any weight tickets into Fieldflo to match up with the Waste load out Forms in each job, save to appropriate project folder.
Requirements:
A minimum of 3 years of experience in the construction industry (asbestos and/or lead hazard abatement experience preferred).
Construction and job costing experience.
Proficient in Microsoft applications (i.e. Excel, Word) and accounting/estimating software. Able to work well as a team player.
Problem solving/troubleshooting ability.
Strong communication and organizational skills, with an attention to detail and a commitment to follow- through.
