Position Type: Full-Time (37.5 hours per week), non-exempt.
Pay Rate: $16-18 per hour

Overview: The Program Assistant for Resource & Care Coordination will provide programmatic and administrative support to multiple program teams and clients with a high degree of accuracy and professionalism. Primary job duties include assisting with inputting of programmatic data in multiple record systems, contributing to the preparation of a variety of program reports and invoices and tracking key program expenditures with the support of Program Managers and Director. Additionally, this position will provide support as needed for the Client Services Building reception and conducting outreach calls to potential program participants.
The Program Assistant position requires experience with Microsoft Office computer programs and a desire to work in a team environment. This position will have public and client facing duties as well as reporting and project-based work. The position will work on-site and reports to the Director of Resource & Care Coordination.
Essential Functions:
Manage and accurately input program data from a variety of sources
Prepare all check and credit card requests and enter information into fiscal software
Assure case files and all client information remains confidential and secure
Provide back up support to Client Services Building reception
Conduct outreach calls to potential program participants
Assist in preparing reports, program statistics and other information
Create, maintain and organize client files
Maintain and update all program personnel and other related program files
Assist Director and Community Service Manager with staff calendars and program office management
Support Director with special projects as needed
Order program materials and supplies, organize office storage with assistance
Track program related supply orders and interface with accounting staff
Other duties as assigned by supervisor
Position Requirements:
Bachelor of Arts preferred with exceptional computer experience
Fluency in English, bilingual candidates (Spanish, Tagalog, Vietnamese, Arabic) are preferred
Excellent computer skills, including knowledge of Microsoft Office
Initiative and ability to take ownership of projects, manage multiple deadlines, and work effectively with a high level of attention to detail
Great at multitasking, as you will be required to manage multiple tasks at once
Excellent communication skills and a desire to work in a team environment
Highly skilled with navigating computer systems and databases
Comfort working in an environment where multiple languages are spoken
Sensitivity to cultural differences present in the organization’s/ program’s service population
At least one year of experience working in an office support role to a team of staff
Prior experience in the non-profit sector preferred
