Context/Reporting line:

The position is designed to help facilitate the work of RRU teams in Sinjar, Baaj, and Qayrawan by following
up on logistics, procurement, admin, HR, and other tasks to ensure timely completion. The position will be
based in Sinjar but will require frequent travel to Baaj and Qayrawan in order to follow-up on all support and
administrative tasks and will also require travel to Dohuk in order to coordinate support and administrative
tasks with the IOM office in Dohuk.
Under the General guidance of the Program Coordinator, the overall supervision of National Operations
Officer, the administrative supervision of the Head of Sub Office (HoSO) and the direct supervision of Senior
Program Assistant, the successful candidate will be responsible for:

Core Functions / Responsibilities
1. Coordinate with RRU Field Teams in Sinjar, Baaj and Qayrawan to support on producing and
following up on procurement requests, financial documentation, signature sheets, attendance sheets
and similar.
2. Travel to Baaj and Qayrawan to identify needs of RRU teams and coordinate with RRU Office in Erbil
to arrange for suitable solutions.
3. Travel to Dohuk to coordinate with support colleagues and ensure timely completion of support tasks.
4. Collect and sort of final documents, original invoices, payment requests, red rose cards and other NW
files in an organized system.
5. Ensure that the activities and financial system of RRU operations in Ninewa and Dohuk are compliant
with the financial policies, procedures, and directives of IOM, regularly reviewing and updating
systems of Ninewa and Dohuk as required and creating internal control systems that ensure
compliance at field level.
6. Oversee general administrative and logistical backstopping to operations and teams within Sinjar, Baaj
and Qayrawan.
7. Liaise with common services units in Resource Management, including HR, Finance, Procurement,
and ICT to coordinate the relevant matters of the team’s requests.
8. Prepare procurement documentation and monitor procurement-related workflows in close
coordination with the Senior Programme Assistant and National Operations Officer.
9. Provide logistical and operational support in the coordination of off-site trainings, workshops,
meetings, and other programme related activities.
10. Any other duties that as requested.

Qualifications & Preferred Skills

Education:

– Bachelor’s degree in Business Administrative or any other filed from an accredited academic
university or institute.

Experience and Skills:

– At least 3 years of relevant work experience with INGOs in Ninewa is required.
– INGO experience should be in the field of logistics, procurement, or admin.
– Ability to compile and write reports.
– Ability to quickly learn new logistics and admin procedures and administer them to successful end.

– Strong attention to detail, and ability to write administrative documents without errors or need for
revision.
– Ability to work with a diverse team across numerous sites.
– Flexibility in work, and ability to work in challenging environments in hard-to-reach areas.
– Ability to work on tasks and complete them without significant follow-up and supervision.
– Ability to work under pressure.
– Personal commitment, efficiency, flexibility and drive for results.
– Proficiency in office applications, including Word and Excel, internet explorer.
Languages:
– Fluency in English and Arabic required,
– Knowledge of Kurdish (Kirmanji Dialect) is an advantage.
