JOB OVERVIEW:

This position aims to ensure smooth implementation through enabling and well-functioning work environment. The Senior Logistics Officer (SLO) line-manages drivers to ensure the activities of the department are efficient and fully functioning in the field and the city. Providing follow up and maintenance of PIN premises and infrastructure, providing the follow up and maintenance of PIN equipment, ensuring the supply for domain of activity, being responsible for material and equipment used by team.

MAIN TASKS

 

1.      General logistics activities supervision

  • Responsible for proper archiving of all logistics related docs in both hard copies the same as soft copies in ELO system.
  • Ensure timely, cost efficient & transparent transversal logistical management.
  • Contribute to logistics related improvements for the CP’s operations.
  • Preparing driver’s salaries on monthly and timely basis.

 

2.      Fleet management

  • Responsible for the usage of PIN fleet in the field and KRG, coordinates and assigns drivers to requests via the movement planner system on daily basis.
  • Ensures efficiency, including cost-efficiency of trips performed and vehicles’ usage.
  • Prepares and follows up on drivers’ contracts and amendments.
  • Ensures the proper condition of PIN vehicles on monthly basis (vehicle checklist).
  • Analyse driver`s Logbooks (accuracy of data, approval of travels) and daily drivers time sheet and tachometer of vehicles in NAV.
  • Conducts regular meetings and training with all drivers.
  • In cooperation with security team provides training to all PIN drivers, driving rules, equipment, economic driving, behaviour at check points, dealing with emergencies.

 

3.      Base management (Erbil)

  • Ensures and crosschecks offices and guesthouses conditions on monthly basis, reporting any anomalies or problems to line manager.
  • Managing rental contracts.
  • Evaluating rehabilitation/repair needs, discuss with line manager and landlord.
  • Providing monthly reports expenditures.
  • Supervising of office arrangements, visitor handling rules, marking of offices, safe overnight parking for PIN vehicles.
  • Collaborate with IT Dept. on asset management and asset inventory.

 

4.      Supply Chain Management

  • Checking PIN procedures are followed during local purchasing: simple purchase and 3 Quotations, ensuring correct financial conditions and negotiating with service providers when needed.
  • Following up orders and outstanding balances with third-parties.
  • Conduct regular market surveys on prices of consumables.

 

5.      Storekeeping

  • Manages stock system in NAV, issuing Purchase Orders, creating Stock Cards (SC), preparing Good Receive Notes (GRN), Good Delivery Notes (GDN) and Discrepancy Acts (DA).
  • Coordinates items delivery with the Logistics and Procurement Assistant in Shirqat including materials for donation in stock or transit (stock cards, Goods Received Note (GRN), Goods Delivery Note (GDN), Purchase Order (PO), Supply Order (SO) in the new stock management system in ELO and Navision.
  • Compliance with PIN Stock management process guideline including archive and other related documentation.
  • Conducts monthly inventory check and follows up on remaining stock.
  • Supervising goods delivery to distribution spots by Suppliers or to PIN warehouses in coordination with Logistics and Procurement Assistant in Shirqat or any other responsible person(s).

 

GENERAL EMPLOYEES OBLIGATIONS AND RESPONSIBILITIES

  • The Employer stipulates the right to assign the Employee any other kind of work derived from his specialization. In case of urgent work and such like the Employee may be asked to work overtime as well as during public and other holidays.
  • Adhering to all PIN policies and procedures at all times including those stipulated in National Staff Handbook, Child Protection Policy, Security Standard Operating procedures, etc.
  • Punctual attendance to work including both working hours in the assigned office and schedule field trips if applicable
  • Ensuring timely and effective delivery of tasks
  • Correctness and completeness of given tasks
  • The Employee takes over the responsibility for all entrusted material or cash. The Employee is obligated to cover all damages or losses caused by his carelessness. The Agreement of Liability of Assets has been signed separately.
  • Prompt providing of all relevant information to their supervisor
  • Maintain confidentiality of all information gained from employment within not publicly available
  • Archiving of all entrusted and acquired documents in proper manner
  • Representing and upholding the values of People in Need at all times
  • Behave in appropriate manners at all times and in all places

 

 

  • Bachelor Degree
  • Work Experience: 3 years experience in relevant position
  • Skills and knowledge in Team management
  • Computer literate with Excellent Microsoft office knowledge (Outlook, Word, Excel, Powerpoint).
  • Fluency in Arabic and Kurdish
  • Advanced  English is required.
    Problems and tasks solving approach required.
    Good communication skills is required.
