Job Description:Job responsibilities:
Ensures scheduling of participants into the appropriate offices, including screening of new applicants; returns participants’ and applicants’ messages within one working day; re-schedules missed appointments; ensures accurate and timely information provided to participants and applicants in a professional manner.
1. Ensures continuity of customer services
- Answers incoming calls for rescheduling and screening WIC applicants
- Accurately completes applicant screening documentation and schedules applicants and participants
- Contacts participants to reschedule missed appointments, including via 2-way texting
- Maintains an accurate referral list and refers participants accordingly
- Maintains accurate, updated participant telephone numbers, addresses, email addresses, and food packages
- Informs office management of participant appointment shortages
- Maintains accurate data to support decision making
- Ensures Autodialer is set properly to run
- Works in various positions to support co-workers and participants, including direct service to participants in WIC offices as needed
- Triages calls from participants and the community regarding donations and/or volunteering
- Uses critical thinking and detailed understanding of WIC WISE to determine whether a family’s benefits can be remote issued, and completes the remote issue process
- Sends food balances and appointment reminders to participants via email
- Explains the steps for signing up for online education to participants, checks whether participants have completed online education, and troubleshoots with participants who are experiencing difficulties accessing WICHealth.org
- Explains the steps for signing up with the WIC app, explains the features of the app, and troubleshoots with participants who are experiencing difficulties with the app
- Follows up on 211 referrals in a timely manner
- Follows detailed procedure to email offices on behalf of a participant, and follows up to ensure that the participant’s needs were met
- Assesses food balances, BVT dates, and participant eligibility for future benefits
- Guides participants in various ways to check current benefit balance
- Refers to office managers or LVL when problems are reported with food balance and/or shopping experience
2. Promote and interpret WIC services to the community
- Provides accurate formal and informal interpretation of WIC policies and procedures
- Participates in outreach activities as needed
- Meets required WIC breastfeeding competencies
3. Carries out any additional assignments required to fulfill the Mission of the American Red Cross and WIC
- Complies with all fiscal and operational requirements prescribed by the American Red Cross and the State WIC Branch, including those outlined in Red Cross employee handbook.
- Contributes to agency’s caseload, breastfeeding promotion and support, and other department goals.
- Trained in Disaster Response in accordance with skill set
Qualifications
Education: High School or equivalent.
Experience: Minimum 6 months – 2 years work experience in a professional office environment, including administrative volunteer experience.
Skills and Abilities: Ability to become proficient with MS Office software, including Word, Excel, PowerPoint and Outlook Strong interpersonal, verbal and written communications skills. Responds promptly to customer needs. Listens and gets clarifications. Follows policies and procedures. Completes administrative tasks correctly and on time. Uses time efficiently. Demonstrates accuracy and thoroughness. Works with integrity and ethically. Maintains confidentiality. Bilingual required. Spanish or Arabic preferred.
Travel: May involve travel.
Essential Functions/Physical Requirements
Work Schedule and Location: Normal hours are 8 a.m. – 5 p.m. including some Saturdays and evenings; flexible schedule as approved by supervisor. Depending on need, may be asked to work at various Red Cross WIC locations in San Diego County.
Depending on work assignment, may require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand, walk and manipulate (lift, carry, move) light to medium weights up to 20 pounds. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read technical information. Overall mobility is essential including sitting for long periods of time, driving a vehicle and working under challenging conditions.
Work Conditions:
Work is performed indoors with some potential for exposure to safety and health hazards related to
emergency services relief work. May travel and participate in meetings and conferences throughout
chapter jurisdiction, state and Red Cross system. Because the Red Cross is a disaster response
organization, staff may be asked to be on 24-hour call during period of major disaster.
