HR Administration Manager


Job Summary:

The HR Administration Manager’s main responsibility is to lead the HR admin team, hereunder being responsible for admins processes like visas, social security, security clearance, Workday, MNR Portal, Recruitment, on-/offboarding, contract renewals, policies and procedure updates, maintain accurate filling system for all HR related documents.

 

Key Responsibilities:

• Recruitment

– Develop, document and oversee a recruitment process

– Manage resources tied to local recruitment committees to support the operational HR team

– Review job advertisements prior to posting, ensure that documentation is collected, recorded/filed and all candidates are closed out in the system.

– Ensure that recruitment process is fair and transparent and in line with internal HR policies and procedures as well as government requirements and local law

 

• Workday (WD)

– Responsible for maintenance and upkeeping the database, including upload of all personnel related documents

– Drive process and system improvements

– Support line management and employees with first line user support

– Conduct training in Workday for amangers and new employees when required

 

• Administration

– Annually review the Personnel Handbook recommending amendments needed due to changes  in local conditions or labour laws

– Develop, implement and maintain needed HR policies

– Administer applications/registrations and assure compliance with local law related to visas, social security, security clearance and personal income tax for all employees

– Ensure leave registration in the system and outside system for illiterate staff are up to date

– Provide appropriate reports from the HR database for the purpose of auditing and monitoring employee data and training

 

• Compensation & Benefits

– Prepare and execute annual salary adjustments and bonuses

– Maintain and perform regular external benchmarking of salary bands

– Monitor compensation – ensuring internal equity & compliance and benefits

 

• Staffing 

– Key point of contact for all staffing contracts

– Monitor use of and performance of suppliers

 

• Coaching & mentoring of staff and support them in reaching their deliverables and targets
• Ad hoc assignments/task as per agreement with Manager
• Any other scope related duties as directed by the HR Manager or Head of HR.

 

Required Qualifications and Experience

  • Bachelor’s Degree in Human Resource Management or similar, MBA would be an added advantage
  • At least 5-10+ years of experience from HR preferably within oil & gas and several years in a managerial role
  • Proven experience with HR software, such as HRIS or HRMS, preferably Workday
  • Excellent knowledge of labor laws and compliance standards
  • Strong organizational and administrative skills, with the ability to prioritize certain tasks and projects appropriately
  • Great communication skills, along with complete knowledge of how to communicate through phone, email, internal memos, and more
  • Proactive at all times and able to work on own initiative without supervision
  • Highly diplomatic and discrete with the ability to handle highly sensitive matters
