PROJECT DESCRIPTION
The USAID Youth Excel: Our Knowledge Leading Change program implemented by IREX and its consortium support young leaders and youth-led and youth-serving organizations around the globe to conduct quality “research-for-change ” use data and learnings to improve their own cross-sectoral, positive youth development programs, synthesize data and learning; and engage in intergenerational dialogue with adult decision-makers so that together youth and adults can shape and advance data-informed development policies, agendas, and programs. Youth Excel works with local youth-led and youth-serving organizations to enhance their program outcomes, learning cultures, networks, and leadership for positive youth development through “research-for-change” in Iraq.
In the Kurdistan Region of Iraq (KRI), the ICONs theme will focus on improving youth livelihoods inclusion, by understanding interconnected causes (rural, political, and gender exclusion) to the current livelihoods exclusion that youth face.
Primary Duties & Responsibilities
- Prepare Purchase Requisition (PR) based on the Requisition from department,
- Prepare Logistics vehicle tracking sheets and fuel reports monthly,
- Manage fleet movements, as well as ensure proper insurance coverage and safe running conditions of the vehicles,
- Provide transport in an official car within a flexible time arrangement (on weekends, holidays, or after office working hours) for program staff, official visitors, and other guests,
- Ensure appropriate fleet management during the emergency,
- Calculate petrol, oil, and lubricant monthly consumption for cash fund and forward monthly vouchers received from the supplier to settle with Finance,
- Maintain a report and take appropriate action of all office vehicles for minor/major accidents, damage, loss, or theft of vehicle fittings,
- Responsible to keep a regular check for the vehicle documents and their good condition, checking the vehicle log and recording monthly maintenance,
- Ensure to regularly check for oil, water, brakes, and brake liquid, tire pressure, battery levels, and the entire vehicle, monthly or every 3,000 km (whichever is first), headlights, brakes, bodywork for dents, etc.
- Assist in tracking assets procured for Rwanga Foundation and excessive stocks of equipment are documented and stored properly in coordination with Assets Coordinator,
- Monitor and track the project assets and consumables to ensure there is no waste, fraud or misuse of equipment or materials and that surplus or excessive stocks of equipment are documented and stored properly,
- Ensure all stocks and equipment is stored safely, correctly, and securely depending upon the item classifications,
- Conduct Bid Analysis of suppliers in the absence of the Procurement Officer in full compliance with Rwanga Foundation regulations,
- Manage logistics and procurement-related transactions filing system,
- Checks and prepares invoices for payments according to Rwanga Finance rules and regulations,
- Maintain and keep all the records for internal control sessions conducted by donors auditors or other related external audits for Inventory,
- Processing and expediting Ministry of Defense documentation for any incoming and outgoing shipment when it is related to shipping or freight forwarding activities,
- Perform any other ad hoc duties as and when assigned.
- The location for the position will be in KOYA
Knowledge, Skills & Abilities
- Excellent interpersonal communication and teamwork skills,
- Knowledge of principles and methods for transportation, including the relative costs and benefits,
- Excellent computer knowledge, especially in MS-Excel, Word, Powerpoint, etc.,
- Ability to communicate in Kurdish and English. Another language is a plus,
- Use constructive judgment and initiative to develop effective and constructive solutions to challenges and obstacles in logistics operations activity and procedures,
- Ability to work consistently and under pressure – independently and as a part of a team to meet deadlines,
- Strong personal initiative with a willingness to accept responsibilities,
- Good communication skills including the ability to prepare reports and briefings,
- Ability to establish priorities, to plan, coordinate and monitor work plans,
- Good negotiating skills and ability to influence others to reach for an agreement,
- Demonstrated ability to develop and maintain effective working relationships within the team,
- Obtaining the appropriate use of equipment, facilities, and materials needed to do certain work.
Reporting & Monitoring
- Conducting assessments, information gathering, analyzing data, and preparing comprehensive reports about office activities supported by presentations if required,
- Attention to detail and high level of accuracy,
- Provide ad hoc and regular reports including progress, monitoring, analysis and recommendations on a regular basis to the direct supervisor.
Working conditions
- Flexible with working hours, working during holidays and under pressure,
- Flexible to attend meetings, conventions, training, and workshops outside duty station,
- Able to travel within the country and overseas.
