Summary of position:
Under general supervision, provides multi-task support services to Immigration, Refugees and Citizenship Canada’s (IRCC’s) programs and operations. Seeks out information to complete files or tasks. Provides routine information and assistance to external clients to facilitate their compliance with requirements, or their understanding of application processes. Enters and validates information in departmental on-line systems; reviews applications and documents; identifies shortcomings including incomplete applications, missing, or irregular information. Provides routine clerical services in support of the delivery of the IRCC program, including visa corrections, visa printing, visa packing, creating electronic and hard copy files, and retaining and disposing of files as per departmental instruction. Processes fee payments and prepares documents for refunding of fees. Maintains filing system, uses internal systems and accesses departmental websites to search or track information. Researches internal and external sources to support information gathering for the processing of the file or application and to support program integrity. Translates and interprets written and verbal information as required. Provides assistance and guidance to colleagues and shows new employees how to perform duties. All of these duties are to be conducted in a manner that supports program integrity.

 

Essential qualifications:

Education:
• Technical Diploma or university degree from a recognized institution

Language:
• Fluency in English (written, reading and oral)
• Fluency in Turkish (written and oral)

You must provide evidence of your English language ability as follows:
• A recent* general language test score from IELTS showing a total overall score of 7 or above; or
• Proof of graduation from an English language medium university

* Recent is defined as being in the last three years.

Experience:
• Recent* experience in an office administrative environment, including the utilization of office equipment such as a computer, photocopier, scanners, fax machine, specialized printer, biometric capturing equipment, and telephone.

*Recent is defined as being in the last seven years.

Rated Requirements
Candidates must also meet the rated requirements shown below, which will be assessed through any of the following: written test, oral communication, interview and reference checks.

Asset Qualifications:

Preference may be given to candidates who have the following asset qualifications. Candidates must also clearly demonstrate how they meet these factors in their cover letter:

Language:
• Knowledge of French (both written and oral)
• Knowledge of Arabic (both written and oral)
• Knowledge of Persian (both written and oral)

Experience:
• Recent* experience working in the immigration or consular section of an embassy or consulate or in a Visa Application Centre, or providing administrative support for case management in an International Organization, for at least six months (Six months can be consecutive or non-consecutive).
• Experience in using Global Case Management System (GCMS)

*Recent is defined as being in the last five years.

• Hours of Work: 37.5 hours per week, 5 days a week
• Ability and willingness to work overtime (compensated)
• Annual leave dates may be restricted due to operational needs
• Ability and willingness to undergo training

Condition(s) of Employment:
• Candidates must have a valid work authorization covering the entire employment period. If the employment is indeterminate, the work authorization should be permanent or itself lead to a permanent work authorization.
