Job overview/summery

 

  • The Pharmacy Assistant works in the medical department and is mainly responsible for central medical warehouse management.
  • The core role of Pharmacy Assistant is to ensure warehouse management as per organization’s standards, establishing drugs and medical supplies stored as per standards. This includes physical reception of medical stock (drugs, consumables, lab materials and devices) from local and international cargos, storing in warehouse as per cGDP and dispatching to field pharmacies upon quarter requests. Updating stock “in and out” status in data base as well as in stock cards.
  • Supports medical department in international drugs forecast, generating mission requests, avoiding drugs from expiration and overstock etc.

Accountabilities:

 

Organization of medical warehouse:

 

  • Ensures general cleanliness and care in handling medicines to avoid cross contamination.
  • Maintain minimum stock levels of medicines, check expiry dates and storage conditions.
  • Maintain accurate consumption record/ stock dispatch record to facilities regularly in stock cards and saga stock data base.
  • Receiving returned items from facilities and taking out expired medicine from normal stock and storing in expired zone for safe disposal.
  • Storing controlled drugs in separate lockable cupboards with full record of inventory.
  • Maintains the security of medical warehouse by limited access to authorized personnel only and ensure door and other exits are secured.
  • Ensure that medical warehouse is free of drink, smoke and rodent at all times.
  • Cross check and document medical warehouse temperature, humidity and cold chain temperature regularly as per organization protocol.
  • Reporting line manager immediately for any problem such as loss, robbery, damage of medical supplies or quality problems etc.

 

 

Stock Management

 

  • Drugs storage in medical warehouse as per organization standards, alphabetical and family order.
  • Maintain minimum stock levels of medicines, check expiry dates regularly and reports to line manager before 6 months of items expiry.
  • Encoding ‘’stock in‘’ & ‘’stock out’’ in stock cards and sagastock tool.
  • Ensures regular analysis of consumption and field pharmacy orders are filled accurately and meets rational use.
  • Validating orders by line manager prior dispatching to field pharmacies.
  • Ensuring proper packaging and dispatching stock to pharmacies as per MDM pharmacy chronogram.
  • Supports field pharmacists in medical stock management and maintain stock movement records regularly in stock cards/Saga stock.
  • Generates and maintain warehouse documents for all stock movements packing lists, receptions, dispatch, tax exemption certificates and importation permits record etc.
  • Supports mission in emergency preparedness for emergency stock.
  • Reports line manager for pre ruptures, sleeping stock and overstock.
  • Ensures NO medicine or material are taken out of medical warehouse/ pharmacy without authorization.
  • Ensuring GDP, GSP for stock reception/dispatch and storage (FEF0, FIFO, stock security, temperature & humidity).
  • Does regular monthly inventory of warehouse (physical counts) specially after stock dispatch, stock reception and before international order placement.
  • Supporting medical and logistic team in local procurement of medicines at KRG.

Supply Chain:

  • Follow up on importation permits with JCC, MOH and KMCA to ensure timely approvals and avoid delays.
  • Report concerns of JCC, MOH and KMCA to logistic coordinator timely manner.
  • Ensure timely reception of international cargo and submitting reception report regularly for reception status for any discrepancy.
  • Supporting logistic assistant for technical visits to suppliers and writing report to logistic coordinator.
  • To submit weekly international cargos status report to logistic coordinator.
  • Any other task assigned by line manager.

 

Others:

  • Check and replenish medical kits items (cars & house) bimonthly.
  • Writing monthly narratives for the warehouse activities of previous month and action plan/ priorities for coming month.
  • Technical visits to field pharmacies when needed.

 

Requirements:

 

  • Diploma in pharmacy.
  • Desirable 2 years’ experience in warehouse management or hospital pharmacy management.
  • Experties in supply chain management is preferred.
  • Satisfactory level of English language and any other local language Arabic or Kurdish.
  • Good communication skills.
  • Good computer knowledge especially in MS word and excel.
  • Respectful behavior and honest.
  • Capacity to work under stress and flexible in working hours.
  • Committed to work with multidisciplinary team and international staff.
