Job Summary

Under the general direction of the Chief Translator and supervision of the Section Chief of Translation Coordination Center (TCC) in Language Services (LS), Corporate Services & Facilities Department (CSF), the incumbent will be responsible for administering and coordinating all requests for translations and translation-related services (such as publications and digital content), monitoring progress to ensure accurate and timely completion and delivery; and providing customer service.

Major Duties and Responsibilities

Coordinates translation requests and serves as the point of contact for requestors, translation Section Chiefs, translators, editors, and freelancers. Ensures that requests are properly authorized and completed following LS policies/guidelines/procedures and that completed translations meet all the requirements of the requesting office. Works with divisional colleagues to meet/anticipate the translation sections’ needs, in the process of coordinating the distribution of translation jobs to in-house and freelance translators. Negotiates deadlines with requestors as necessary.

Supports the translation sections by preparing files to be used in computer-assisted translation (CAT) environment, and by performing basic document analysis and pre-translation as needed.

Coordinates and manages publications of flagship and other publications. This includes management/preparation of files to facilitate the use of CAT tools.

Provides language-specific assistance to the translation sections, including text processing, basic proofreading, and typesetting, and aligning documents to be uploaded in translation memories as needed.

Provides support to a global network of freelance translators, this may include sending/receiving packages to and from the freelancers using CAT tools, exporting bilingual files, importing reviewed files, running perfect match, etc. Maintains and updates the LS database of freelance translators and translation-related service providers. Prepares and follows up on freelance translation contracts.

At A8, the incumbent also performs the following TCC functions under the supervision of the TCC Section Chief:

Coaches more junior translation project coordinators.

Acts on behalf of the TCC Section Chief in their absence. In this capacity, coordinates the workflow of the TCC and liaises with clients and LS translation sections, attends LS senior staff meetings, as necessary.

Minimum Qualifications

A university degree or work experience gained in a related field in language, computer science, business, or related area of study. See language services ladder, qualification requirements.

Advanced knowledge and experience with standard computer-assisted translation (CAT) tools (SDL in particular), translation management systems (TMS, Plunet in particular), machine translation technology, and content management systems.

Native proficiency in English and/or one or more of the following languages: Arabic, Chinese, Japanese, French, Portuguese, Russian, and Spanish.

Proficiency in the use of Microsoft tools including MS word, MS Excel, PowerPoint, SharePoint.

Knowledge of Acrobat, HTML and XML.

In-depth knowledge of web-based systems including those used for video and digital content creation.

Attention to detail and ability to keep up with multiple deadlines.

Team player and able to cope with a busy operation.

Excellent judgment and self-motivation.

For Grade A6, educational development, typically acquired by the completion of a relevant university degree, or equivalent, is required. Alternatively, a minimum of two years of experience in a related position at Grade A5, or equivalent, is required.

For Grade A7, educational development, typically acquired by the completion of a relevant university degree, supplemented by a minimum of three years of related work experience, or equivalent, is required. Alternatively, a minimum of two years of experience in a related position at Grade A6, or equivalent, is required.

For Grade A8, educational development, typically acquired by the completion of a relevant university degree, supplemented by a minimum of five years of related work experience, or equivalent, is required. Alternatively, a minimum of two years of experience in a related position at Grade A7, or equivalent, is required.
