General Description of the Programme

This vacancy is mainly for the Project “improving existing skills of most vulnerable people through vocational training & entrepreneurship development” aims to provide emergency support to the areas with new returnees, where the severity of those needs increased, due to ongoing reconstruction/rehabilitation activities in the area. The project will sustain returnees into their area of origin and help support in migration to other areas of finding job opportunities.

 

Overview of the role

The Admin/HR Clerk will work in close coordination between UN-Habitat funded project teams in Sinjar and PWJ Duhok office. S/he will be responsible for admin records and maintaining the PWJ Sinjar sub-office. He/she will coordinate, assist with implementation and follow up administration tasks of all project’s activities. He/she will provide regular and ongoing assistance and support to the PWJ staff and the trainers.

 

Main responsibilities

  • Responsible for maintaining and running the PWJ Sinjar Sub-office
  • Ensuring that employment and trainers contracts (for Telbanat & Dokry, Sunini) Sinjar Sub- office are issued to all.
  • Distributing PWJ ID cards to all employees for Telbanat & Dokry, Sunini – Sinjar Sub- office and withdrawing the cards if the employee is suspended or ceases to work for PWJ, and ensuring that no final pay is issued until the card is returned.
  • Preparing and keeping all personnel records (for PWJ Telbanat & Dokry, Sunini) Sinjar Sub- office including the staff and trainer’s monthly attendance sheet
  • Developing and maintaining assets registers and inventory lists for PWJ Telbanat & Dokry, Sunini – Sinjar Sub- office and ensuring that a stock check system is implemented jointly with PWJ Logistic Officer – Dohuk.
  • Providing translation services (both written and oral) as required.
  • Coordinating and reporting to the PWJ Duhok office including the movement of mail from and to PWJ offices and procurement of the different materials for the PWJ Telbanat & Dokry, Sunini – Sinjar Sub- office, and the training course.
  • Organizing all related documents, memorandums, and letters of permission from the relevant authorities and organizations.
  • Working closely with Admin/HR Officer and the Logistics Officer in all aspects.
  • Providing support to the field staff.

 

  • Collecting monthly attendance sheet of Telbanat & Dokry, Sunini, Sinjar Sub- office personnel submitted and observing any delayed arrival and early departure.

Carrying out other duties as directed, in accordance with programme requirements.

Qualifications & Preferred Skills

Knowledge and experience required:

  • Institute /Bachelor’s degree
  • At least 1-3 years of experience in humanitarian NGO.
  • At least 1-2 years of experience in Administration
  • Good knowledge and experience in humanitarian work.
  • Computer literate (Word. Excel)
  • Fluent English level – both spoken and written.
  • Ability to organize tasks simultaneously and prioritize work.
  • Honest, responsible and in good physical condition to meet the job’s demands.
